Effective Date: To be confirmed before publication
This Refund Policy explains how refund and cancellation requests relating to Regional Anesthesia Society of the Philippines (“RASPHIL”) events, workshops, membership payments, and related transactions are handled.
Because different events or activities may have different financial commitments, venue arrangements, faculty commitments, and registration deadlines, additional event-specific refund conditions may apply.
1. General Refund Requests
Refund requests must be submitted to RASPHIL through an official contact channel.
The request should include sufficient information for RASPHIL to locate the transaction, such as:
- Participant name
- Registration reference
- Event or activity
- Payment date
- Amount paid
- Transaction or order reference
- Reason for the request
Do not send online banking passwords, PINs, card security codes, or other confidential banking credentials.
2. Refund Eligibility
Refund eligibility may depend on:
- The applicable event or activity
- The date the request is received
- Whether payment has been verified
- Whether a seat or limited-capacity activity has already been allocated
- Non-refundable commitments already incurred by RASPHIL
- Any event-specific cancellation terms communicated during registration
A refund request is not considered approved until RASPHIL confirms the approval.
3. Duplicate or Incorrect Payments
If you believe you:
- Paid twice
- Paid an incorrect amount
- Paid for the wrong registration
- Experienced a payment processing error
please contact RASPHIL promptly.
Verified duplicate or erroneous payments may be reviewed for correction or refund.
4. Registration Cancellation
Cancelling a registration does not automatically create or complete a refund.
RASPHIL must review the payment and applicable refund conditions separately.
If a refund is approved, the registration may be marked cancelled and any associated event capacity may be released.
5. Payments Awaiting Verification
Submitting an “I Have Paid” notification does not mean that payment has already been verified.
If a payment cannot be verified, RASPHIL may contact the participant for additional information.
A temporary capacity reservation or an awaiting-verification status does not by itself create a right to a refund if no payment was actually received.
6. Event Capacity Issues
RASPHIL’s registration system is designed to prevent participants from being instructed to pay when no event capacity is available.
If an exceptional technical, administrative, or payment situation results in a verified payment being received when RASPHIL cannot provide the applicable event place, RASPHIL will review the case and determine the appropriate resolution, which may include:
- Offering available capacity where appropriate
- Moving the registration to another available option with the participant’s agreement
- Issuing a refund where appropriate
RASPHIL will not intentionally confirm more secured seats than the configured event capacity.
7. Event Cancellation by RASPHIL
If RASPHIL cancels an event and does not provide a suitable replacement arrangement, participants who made verified payments for the cancelled event will generally be eligible for an appropriate refund of the affected registration fee.
RASPHIL will communicate the applicable procedure if an event is cancelled.
8. Event Rescheduling or Program Changes
Changes to speakers, program schedules, individual sessions, workshops, or similar program details do not automatically constitute event cancellation.
If an event is rescheduled or materially changed, RASPHIL will communicate the available options to affected participants where appropriate.
9. Membership Payments
Membership fees are separate from event registration fees.
A request involving a membership payment will be reviewed according to:
- The membership status
- Whether membership has already been approved or activated
- The payment circumstances
- Any applicable RASPHIL membership rules
Membership refund requests are not automatically approved solely because the membership payment was submitted.
10. Refund Method
Approved refunds will normally be returned using a method determined by RASPHIL based on the original payment method, financial provider capabilities, and administrative requirements.
RASPHIL may request reasonable information necessary to process the refund.
11. Processing Time
Refund processing times may vary depending on:
- Payment method
- Bank or financial institution
- Payment processor
- Required verification
- Administrative processing
RASPHIL will aim to process approved refunds within a reasonable period.
Banking or payment-provider processing times may be outside RASPHIL’s direct control.
12. Transaction and Processing Charges
Where payment processors, banks, or financial institutions impose charges that are non-refundable to RASPHIL, the treatment of those charges may depend on the circumstances of the refund and applicable event terms.
Any deduction should be communicated before the refund is completed where applicable.
13. No Automatic Refund
A payment status marked as:
- Submitted
- Awaiting Verification
- Paid
- Cancelled
- Rejected
does not by itself determine whether a refund has been issued.
A refund is considered completed only after the applicable refund transaction or administrative process has been carried out.
